The Billomat mail server (SMTP / IMAP)

With Billomat you can also send your documents by email. Here you get the information how it works!

Use your own SMTP mail server

By default, your documents are sent directly from the Billomat server with your email address as the sender.

To use your own mail server , enter the access data for your outgoing mail server (SMTP server). This is the same data that you have to enter in your e-mail program in order to send e-mails. Billomat then uses your SMTP server when you send e-mails with Billomat.

Notes for Google (Gmail)

If you use Google or Gmail, you can find out here how to view the SMTP dataIn the event of an error with the connection, please refer to the relevant troubleshooting section.

Note: The prerequisite for the connection is that you use a real account or mailbox. For example, a GSuite group is not included.


If the connection doesn't work, first check if the following tips help:

  • Allow less secure apps
  • Turn off multi-factor authentication (MFA)
  • Issue app-specific password
  • Run Display Unlock Captcha 
  • Fall back to SSL or TLS instead of using STARTTLS
  • When changing the password in Gmail, also change it in Billomat

Note: It is best to also check whether you can store your data manually in Billomat instead of using the setup assistant.

Notes for Office365

If you use Office365, you can find out how to view the SMTP data here.

Please note the following steps if you encounter any connection errors:

  • Check SPF entry or request it from Billomat support
  • Check blacklist
  • Allow third-party apps
  • Turn off multi-factor authentication (MFA)
  • Issue app-specific password
  • Fall back to SSL or TLS instead of using STARTTLS
  • When changing the password in Office365, also change it in Billomat
  • Office365 Exchange only possible with SPF entry

Setting up an IMAP mailbox (mail archiving)

Billomat can also store sent e-mails in your own IMAP mailbox. For example, they appear in the Sent folder.

To do this, simply navigate to Settings > Administration > Mail server (SMTP/IMAP) and enter the access data for your own IMAP mailbox in the mask (see image). With the setup wizard, this can be done very easily with many common e-mail providers by entering the e-mail address and password.

Please don't forget to also select the folder in which the emails should be filed!
